Conference Policies

All delegates should read these policies in their entirety. Registering for the conference means acceptance of all the conference policies. Delegates are also expected to abide by all local and municipal laws and venue-specific regulations while at Thakur College of Engineering & Technology Model United Nations (TCET-MUN) Conference 2017.

  1. General Policies:

(i) The Secretary-General, Director General and all the Under Secretary General(s) along with the Professor in charge of Thakur College of Engineering & Technology Model United Nations Society (“TCET-MUN Society”) are the only staff members (“organizers”) empowered to grant exceptions to any conference policies or other general Thakur College of Engineering & Technology Model United Nations Conference (“TCET-MUN”) practices.

(ii)TCET-MUN is not liable for any erroneous statements made by other staff members regarding exceptions to fees or policies.

(iii) TCET-MUN Secretariat reserves the right to amend the country/committee matrix. Also, country and committee allotments are the sole discretion of TCET-MUN Secretariat [The Secretary-General, Director General and all the Under Secretary General(s.)] Selection of the Executive Board members, including the decision with regards to selection procedure and other incidentals are to be decided by TCET-MUN Secretariat.

  1. Code of conduct:

(i) Consumption or possession of drugs or alcohol will not be tolerated under any circumstances. If anyone in a delegation is found in possession of alcohol or drugs; that delegation will be asked to leave the Conference immediately. TCET -MUN staff reserves the right to preclude future participation. Violators of this policy may be criminally liable. Cigarette smoking is not permitted. TCET-MUN is NOT responsible for belongings left in meeting rooms.

(ii)All delegates are expected to be present at committee meetings, and must stay in committee meetings for the established duration. Chairpersons and the TCET -MUN Staff will log attendance. Delegates will be provided with participation certificates only if attended at least 6 sessions of committee.

(iii) Delegates must wear the ID badges provided by the Conference at all times during TCET-MUN, in and out of Conference events.

(iv) Faculty Advisors are encouraged to visit committee sessions. Please note that Faculty Advisors are responsible for their students’ behavior. Faculty advisors might not be allowed in committee sessions during voting procedure or in case if the Chairpersons decide against it. The TCET-MUN Society and the Thakur College of Engineering & Technology, Mumbai (“TCET, Mumbai”) will NOT be responsible for any expensive items or belongings of the delegates.

(v) The official language at TCET MUN-2017 will be ENGLISH. During the sessions, the delegates are expected to exercise diplomatic courtesy when addressing members of the committee and the dais. The delegates are expected to address the other delegates in third person. No use of slang or informal terms would be entertained.

  1. Conference Fees, No Refund Policy and Accommodations:

(i) The details of the Conference fees (“individual delegate registration”, “international press registration” and “Accommodation for One Person”) and other incidentals are or will be published on the website from time to time. Delegates will not be allowed to participate at the conference until they have paid any outstanding dues to TCET-MUN. If a delegate withdraws from the conference, the delegate is liable for all fees charged. Also, travelling, lodging, boarding, food and other incidental costs are to be borne by the participating delegates. All fees are owed to TCET-MUN by the dates mentioned on the website. All fees are also non-refundable. In the case of cancellation of the conference due to extreme circumstances (such as a natural disaster or health epidemic), conference payments will be non- refundable.

(ii) TCET-MUN offers limited accommodations on first come first serve basis. Accommodation allotments are also the sole discretion of TCET-MUN Secretariat. All norms and regulations of the place of accommodations are to be adhered by all delegates staying there. TCET-MUN conference offers a limited number of fee waivers (waiving delegate fees) to those who would otherwise be unable to attend the conference due to personal constraints/financial constraints. The rights to grant these waivers remain with TCET-MUN Secretariat.

(iii) Cancellation Due to Weather Conditions, Health Issue etc.: TCET-MUN 2017 will take place from 15th to 17th September 2017 regardless of the weather conditions. TCET-MUN reserves the right to cancel the conference in the case of extreme circumstances, such as health epidemic, major natural disaster or in the case of vis major. TCET-MUN can be cancelled/modified/postponed in case if a college policy decision is taken in that regards. No refunds shall be provided in those circumstances.

 

  1. Other Rules:

(i) The Secretariat reserves the right to immediately expel delegates from both the Conference and the Conference venue due to unacceptable behavior. Serious infractions on the part of even a single delegate may require the dismissal, without refund, of the individual involved and his or her delegation from the Conference.

(ii) If a delegate is dismissed from the conference, their delegation is automatically disqualified from Conference awards. The Secretariat reserves the right to define appropriate Conference behavior and is particularly sensitive to issues involving displays of disrespect to other delegates, Secretariat, Conference Staff, Executive Board Members, Conference venue Staff and other Volunteers including the members of the International Press or any person connected with the TCET-MUN or TCET, Mumbai.

(iii) Any photo, video and other audio/visual material taken and/or recorded during TCET – MUN featuring any delegate may be used and published for promotional purposes by TCET, Mumbai and TCET-MUN Society.

(iv) The delegates would be held responsible for any willful or negligent damage to the property and the venues and premises of the activities held by TCET-MUN Society, including In-Conference, Out-of Conference and Pre- & Post-Conference Events, and will also be held responsible for the replacement and/or compensation of and for any damage that they may be held responsible to have caused.

(v) It is indemnified and believed to hold harmless the TCET, Mumbai and the TCET-MUN Society along with the staff, administration, committee post holders, Secretariat members and other agents from and against any claims of liability, loss, theft, damage or cost which may arise out of or relate to travelling to, participating in, and/or returning from the Thakur College of Engineering & Technology Model United Nations (TCET-MUN) Conference 2017.

(vi) TCET-MUN Secretariat reserves the right to change or amend or modify any of the conference policies mentioned in this document without any prior notice.

(vii) Accepting the policies online through registration is tantamount to a digital signature, agreeing to abide by the policies set above. In case of a minor registering for the conference, online registration would automatically imply parental consent.
